Onboarding a New User

Purpose

To configure a new user in the 8x8 Admin Console, including assigning phone numbers, services, and permissions so the user can begin making and receiving calls.

Overview

Administrators manage all user-level services in the 8x8 system. This includes:
  • Onboarding
     
  • Assigning phone numbers
     
  • Configuring voicemail and call forwarding
     
  • Setting feature access (international dialing, call recording, 8x8 Work apps)
     
Account services are configured at the individual user level. Administrators determine which actions each user can take and which services they can access.
 

Prerequisites

Before onboarding a new user, ensure you have:
  • An available phone number to assign (see Claim Phone Numbers)
     
  • An available license 
  • The user’s name and email address
     
 

Procedure: Onboard a New User

1. Claim a phone number

Select or reserve the phone number that will be assigned to the new user. (See Claim Phone Number)

2. Create the user profile

  • Enter the user’s full name.
     
  • Enter the user’s email address.
     
  • Create the profile in the Admin Console.
     

3. Assign services and extensions

4. Apply the license

Assign the correct license to activate the user’s services. (See Assign User License)
 

Expected Result

Once the user has:
  • A license
     
  • A phone number or extension
     
  • A user profile
     
  • Required permissions
     
They can start using the account immediately to make and receive calls through 8x8 Work (Online, Desktop, or Mobile).
