Assign, Change, or Remove a License in 8x8 Admin Console

Purpose

To assign, modify, or remove a user license in the 8x8 Admin Console.
You may need to:
  • Assign a license to a new user
     
  • Change a user’s license when their role changes
     
  • Remove a license when a user leaves the organization

Before You Start

To manage licenses, you must have:
  • Administrator permissions
     
  • Available licenses (for assignment or change)
     
  • Confirmation that the correct user account is selected
     
 

How to Access a User’s License Settings

You will use these steps for all license tasks (assign, change, remove):
  1. Log in to Admin Console.
     
  2. Select Users.
     
  3. Find the user and click Edit (pencil icon).
     
  4. Go to Services and Permissions.
     
 

Assign a License to a User

Steps

  1. Navigate to the user’s Services and Permissions (see steps above).
     
  2. From the License dropdown, select the license you want to assign.
     
    • If you receive an error, no licenses are currently available. A new license must be purchased.
       
  3. Click Save.
     

Expected Result

After assigning a license, you can:
  • Assign a phone number or extension (see Assign a Phone Number)
  • Configure user settings (voicemail, call forwarding, app access)
     
 

Change a User’s License

Steps

  1. Navigate to the user’s Services and Permissions.
     
  2. Select the desired license from the License dropdown.
     
  3. Click Save.
     

Changing to a Different License Type

If switching from one license type to another:
  1. Remove the user’s existing license.
     
  2. (Optional) Cancel the old license if you no longer need it. (see How to Cancel)
  3. Assign the new license.
     
    • If no licenses are available, one must be purchased.
       

Expected Result

The user gains access to the features included with the new license type.
 

Remove a User’s License

⚠️ Warning: Data Loss

Removing a license deletes the user’s:
  • Call history
     
  • Call forwarding settings
     
  • Voicemails and voicemail greetings
     
  • Device activation
     
Call recordings remain available to administrators in Admin Console.
Copy or export the needed data before proceeding.

Steps

  1. Navigate to the user’s Services and Permissions.
     
  2. Click the X next to the license dropdown.
     
  3. When prompted, click Continue.
     
  4. Click Save.
     

Expected Result

  • The license is removed and becomes available for reassignment.
     
  • To stop being billed for the license, you must request a partial cancellation. (see How to Cancel)
 

Permission Issues

You may be unable to view or edit certain fields if:
  • Your role does not include permission to manage licenses
     
  • You are logged into the wrong admin account
     
  • You have an alternate account with lower permissions
     

How to Resolve

  • Contact your system administrator to update your permissions.
     
  • If you are an admin and still experience issues:
     
    • Clear your browser cache and cookies.
       
    • Log out and back in.
       
    • If the issue continues, contact 8x8 Support.
       
  • If you have multiple accounts, make sure you are logged into the correct one with the required permissions.
