Voice for Teams Improved User Management (Auto Sync) FAQ

Overview

As of February 13, 2025, customers using 8x8 Voice for Microsoft Teams can now enable the new Auto Sync feature, which allows 8x8 to access their Microsoft tenant to automatically perform user syncs between the two services, when changes are detected in Teams-enabled 8x8 Admin Console user profiles.

Important:
  • With Auto Sync enabled, changes made only to your Microsoft tenant and not within 8x8 Admin Console will still require you to run a manual sync by clicking Sync Now in the 8x8 Voice for Microsoft Teams admin portal. However, any changes made within 8x8 Admin Console will automatically trigger a Microsoft sync.
  • Enabling Auto Sync is not mandatory. Admins can still click on the Sync Now button in the Voice for Teams admin portal to perform manual syncs, if desired.
  • Auto Sync authorization between 8x8 and your Microsoft tenant is handled using a non-accessible, non-expiring authentication token that is created when the service is configured for Auto Sync by a Global Administrator on your Microsoft tenant.
  • Microsoft administrator credentials are not and will not be stored on 8x8's service for this new feature.
  • Automatic syncs are performed within ten (10) minutes of 8x8 Admin Console detecting saved changes to one or more Teams-enabled user profiles.
This feature must be enabled by a Microsoft Global Administrator in the 8x8 Voice for Teams admin center, in Services > Teams.
Note: For the Auto Sync option to appear, you must first enable Next Gen Teams Sync and click Save.

Once enabled, Auto Sync logs will appear as Auto in the Type column of the service sync log.
Syncs performed by clicking the Sync Now button will appear as Manual in the Type column.

Questions and Answers

What does Auto Sync do?

As stated above, the new Auto Sync service in the 8x8 Voice for Microsoft Teams admin portal automatically detects changes to Teams-enabled users saved in 8x8 Admin Console, which triggers the sync process between 8x8, the Teams admin portal, and the Microsoft tenant.

Why has this been done?

This service change was made for several reasons:
  • To improve Teams sync performance.
  • To increase the ease of use for administrators.
  • To facilitate a change in the user sync provisioning model for Voice for Teams from a pull process to a push process (Auto Sync), to provide support for the Next Gen Teams Sync service.

Do I have to enable Auto Sync?

No, the Auto Sync service is opt-in. Your Teams service will continue to work as normal with Auto Sync disabled, with a few functional and cosmetic changes to the admin portal and sync service.
  • Note: If you decide not to enable Auto Sync, you must manually trigger Sync Now for every change you make in 8x8 Admin Console.

How long does it take for an Auto Sync to initiate?

The Auto Sync service will recognize changes made to Teams-assigned users in 8x8 Admin Console, and will initiate a sync within 10 minutes of those changes.

What's different about the Teams admin portal, now?

With enablement of opt-in to the new Auto Sync feature, several things have changed in the Voice for Teams admin portal:
  • The Sync Now button will display only the ManualTeams and Sync Logs options.
  • PBX sync logs will no longer appear in the Voice for Teams admin portal. You will only see Teams sync logs.
  • The Sync Jobs sync history will now display a new column that can display and be filtered for both Auto and Manual initiated sync jobs.
  • PBX syncs will occur automatically in response to Admin Console user changes, even if the Auto Sync feature is not enabled.

Why does the sync option in the admin portal Services > PBX tab now display Enable Sync?

The PBX sync enablement option has been automatically disabled to facilitate the automatic push of 8x8 Admin Console (PBX) changes to the Teams admin portal. It is no longer needed for the 8x8 sync process, even if Auto Sync is not enabled.

Can I still Enable Sync in the Services > PBX tab of the admin portal?

We recommend against this, as this option remains only as a potential troubleshooting tool. Enabling/Disabling Sync must only be done in collaboration with the 8x8 Engineering team to avoid potential service disruption. Also note that this option will likely no longer be available in the near future.

With Auto Sync enabled, will PBX syncs run automatically, even though they don't appear as an option in the Voice for Teams admin portal?

Yes! After the Auto Sync service has been enabled by a Microsoft Global Administrator, any detected change to Teams-enabled users in 8x8 Admin Console will automatically trigger both 8x8 and Teams sync processes.

Can I still run a Manual sync process?

Yes, even though the PBX option no longer appears in the Sync Now dropdown menu, manual syncs can be initiated by clicking Sync Now.
However, in this case only the Teams sync will run, since the 8x8 Admin Console sync process is now automated.

Why can't I see the PBX option in the Sync Now dropdown menu?

There is no longer a need for a PBX option in Sync Now, since any change made to Teams-enabled users in 8x8 Admin Console will automatically sync those changes to the Voice for Teams admin portal. This is true even if Auto Sync has not been enabled.

I enabled Auto Sync. Why do I now see two Teams Sync Now options?

Either option may be used to initiate a manual Teams sync process. However:
  • The Manual Sync option will directly prompt for Microsoft credentials to initiate.
  • The Teams option does not prompt for credentials, instead using the security token created when the Auto Sync feature was enabled.

Is enablement of Next Gen Teams Sync required for initiating manual syncs?

No, manual syncs can be performed without enabling either Next Gen Teams Sync or Auto Sync in the Voice for Teams admin portal. 

Will Auto Sync run if I make changes only in my Microsoft tenant, and not in 8x8 Admin Console?

No, Auto Sync processes are currently only initiated by detected user changes in 8x8 Admin Console.
In this scenario, you would need to perform a manual sync by clicking Sync Now in the Voice for Teams admin portal. As stated above, this will run only a Teams sync, as the 8x8 PBX sync process will run automatically when user changes are made in 8x8 Admin Console.
